Pricing & quotes
What types of AV equipment do you rent?+
A full professional inventory — JBL SRX line arrays, Midas and Yamaha consoles, Shure wireless, Blackmagic cameras and switchers, LED video walls, Epson projectors, MA lighting, Martin moving heads, staging, and power distribution. 209 active SKUs across 14 categories. See the rate card for the headliner items, and call us for anything not listed.
How fast do you turn around a quote?+
Same business day. Email your event date, venue, and headcount — we come back with a line-itemed quote, usually within four business hours.
What payment methods do you accept, and are there processing fees?+
All major credit cards (3% processing fee), ACH transfer (no fee), checks ($100 returned-check fee), and money orders. Payment is due before the rental or event date. A valid card is kept on file regardless of the invoice payment method.
Is there a commission anywhere in this?+
No. We do not pay the hotel, the planner, or anyone else. The price you see is the price you pay. The hotel gets a separate rev-share if we are their white-label in-house partner — but that is a separate contract, not a hidden line.
Logistics
Logistics
What areas do you serve?+
Two offices cover a 1–2 hour drive radius: Atlantic City (South Jersey, the Shore, Cape May, Philadelphia metro) and West Chester (Chester County, the Main Line, Delaware Valley, King of Prussia, northern Delaware). 37 cities in our core radius, plus the entire East Coast for events with 2+ week lead time. We also travel to the Midwest and Mid-Atlantic for festival and tour work.
What is your cancellation policy?+
7+ days out: no penalty, full refund. Between 48 hours and 7 days: 50% fee. Less than 48 hours: full bill. Cancellations due to acts of God (illness, weather, death in the family) are charged only the actual costs we have already incurred, as long as the job is rescheduled within 3 months. If it is not rescheduled, the fee is 25% of the order total.
What are your lead times?+
Essential package: 7 days. Production: 2–4 weeks. Concert: 4–8 weeks. We do emergency same-day for existing clients when crews and gear are open. Call us if you are in a bind — we will tell you straight whether we can do it.
Do you travel?+
Yes. Anywhere on the East Coast and most of the Midwest. Travel costs (per-diem, lodging, fuel) are quoted per project and added to the package.

On-site
Do you provide setup and on-site technical support?+
Yes. Every package includes delivery, professional setup, on-site operation during your event, and teardown. Every Production package ships with a backup wireless mic, backup projector, and a redundant console. If something fails, we replace it before the show notices.
How does your equipment testing policy work?+
Every piece of gear is tested before it leaves the warehouse and again when it returns. If any damage occurs during your rental period, we assess it on return within 24 hours. This two-way testing process protects both you and us, and ensures you always receive gear in perfect working condition.
Can you work with our band, DJ, or artist directly?+
Yes. We work directly with bands, DJs, planners, and production teams. If the artist has a technical rider, we read it. If the band brings their own FOH engineer, we hand them a clean stage with our gear. We have worked with touring and local acts across the East Coast.
Do you offer union crew?+
Yes. IATSE Local 77 on call for any AC or Philly venue that requires union labor. Same crew, same rate card, same accountability — we handle the payroll, the venue gets the labor peace.
Working with hotels & venues
Working with hotels & venues
Why are you cheaper than the in-house AV quote?+
Because the in-house provider pays the hotel a commission on the invoice. Encore's 2026 SEC filing confirms the model — it records commissions paid to venues as a cost of revenue — but the rate is set per property and is not published. That commission has to come from somewhere, so it gets baked into the rate. We do not have that cost. Same gear, different math.
Can I bring you as the outside AV into a hotel that has an in-house provider?+
Yes. Encore's own SEC filing says planners 'retain the option to use outside providers.' Some hotels will charge a small outside-vendor liaison fee. We will help you negotiate that down or eliminate it as part of the room block.
Do you provide AV to hotels and venues on a white-label basis?+
Yes. We run white-label in-house AV for hotels and convention centers. Branded portal for your event clients, automated outreach 27–29 days before every booking, Stripe checkout, no commission baked in. See /hotel-av-partner for the program and /facility-av for the platform.
